Terms of Use & Policies​

Thank you for choosing EZ Car Clinic LLC (“EZ Car Clinic”, “EZCC”, “we”, “us”, or “our”) for your vehicle maintenance and repair needs. We are committed to providing convenient, transparent, and professional automotive services.

By booking an appointment, accepting an estimate, or receiving services from EZ Car Clinic, you (“Client”, “you”, or “your”) acknowledge that you have read, understood, and agree to be bound by these Terms of Use & Policies.​

The following summary highlights key policies for convenience. It is not a complete description of all terms. The full Terms of Use & Policies below govern all services provided by EZ Car Clinic.

Appointment Cancellation: Appointments may be canceled or rescheduled up to 48 hours before the appointment without a fee. Late cancellations may incur a $175 cancellation or rescheduling fee.

Technician Arrival Window: Technicians arrive within a one-hour arrival window surrounding the scheduled appointment time.

Diagnostic Services: Diagnostic appointments include testing and troubleshooting only. Repairs require separate approval and may require a separate appointment.

Repair Appointments: Troubleshooting and diagnostics are not included in Service appointments unless a Diagnostic appointment is specifically booked.

Minimum Service Fee: A minimum non-refundable service fee of $175 may apply if the selected Service is insufficient to repair the vehicle.

Customer-Supplied Parts: If customer-supplied parts are used, the EZCC Service Warranty does not apply.

Mobile Service Location: Clients must provide a safe and accessible service location, including at least 2 feet of clearance around the vehicle and any required permission to perform service at the location.

Payment: Full payment is due upon completion of service, unless otherwise agreed.

Warranty: Most services include the EZCC 12-Month / 12,000-Mile Limited Service Warranty, unless otherwise specified.

 
Our Commitment to Clients

EZ Car Clinic strives to provide reliable and professional automotive services while maintaining transparency in pricing, scheduling, and communication.

To support our operations, we may utilize third-party vendors or independent technicians. We take client privacy seriously and do not sell personal information or use it for telemarketing purposes, unless otherwise disclosed.

 
Definitions

Service: Any repair, maintenance, diagnostic, inspection, or automotive work performed related to a scheduled appointment.

Technician: Any mechanic, technician, employee, or independent contractor performing services on behalf of EZ Car Clinic.

Part / Material: Any replacement component or material used during a Service.​​

 
Service Approval

By booking an appointment, the Client agrees to:

  • Accept these Terms of Use & Policies

  • Receive communications via email, text, or phone

  • Understand that the Technician will arrive within a one-hour arrival window surrounding the scheduled appointment time.

  • Approve a minimum non-refundable fee of $175 if the requested Service proves insufficient to properly repair the vehicle

  • Acknowledge that diagnostic appointments include testing only and do not include repairs

Upon accepting an estimate, the Client authorizes EZ Car Clinic and its Technicians to operate the vehicle as necessary for testing, diagnostics, or repair purposes.

Electronic acceptance of estimates, invoices, or service approvals through email, text message, or online booking systems constitutes a legally binding agreement to these Terms of Use & Policies.

Vehicles may contain pre-existing mechanical, electrical, or structural conditions. EZ Car Clinic is not responsible for failures resulting from such conditions discovered during normal service procedures.​

 
Appointment Cancellation & Rescheduling

Appointments may be rescheduled by EZ Car Clinic due to:

  • parts availability

  • scheduling conflicts

  • weather conditions

  • circumstances beyond our control

Appointment Confirmation

Appointments must be confirmed by electronically accepting the estimate. Unconfirmed appointments may be cancelled 48 hours prior to the appointment.

Client Cancellation

Appointments may be canceled or rescheduled up to 48 hours prior to the appointment.

Late Cancellation / No-Show

Appointments canceled or rescheduled within 48 hours are subject to a $175 late cancellation or rescheduling fee.

If the technician cannot access the vehicle within 15 minutes of arrival, the appointment may be canceled and the fee applied.

 
Estimates & Invoices

Initial estimates may change after on-site inspection.

Changes must be approved by the Client before completion of the Service.

Invoices are due upon completion of service, unless otherwise agreed.

 
Payment Methods

EZ Car Clinic accepts:

  • Cash

  • Approved credit or debit cards

  • Other approved payment methods

Payment processing fees may apply.

Saved payment methods may be used to collect:

  • outstanding balances

  • service charges

  • diagnostic fees

  • cancellation or rescheduling fees

Client Responsibilities

Clients agree to:

  • Provide a safe and accessible service location

  • Ensure technicians have proper access to the vehicle

  • Obtain authorization to perform vehicle service at the selected location

  • Provide accurate vehicle information when scheduling

  • Make the vehicle available at the scheduled appointment time

 
Client-Supplied Parts

Clients may supply parts for installation.

If client-supplied parts are used:

  • EZ Car Clinic Limited Service Warranty (EZCC Service Warranty) is void

  • Diagnostics or testing may be declined

  • The Client is responsible for disposal or recycling of replaced parts

  • Technician time may be charged if supplied parts are defective or incompatible

 
Personal Property Disclaimer

Clients are responsible for removing or securing all personal belongings from the vehicle prior to the scheduled Service.

EZ Car Clinic and its Technicians shall not be responsible for the loss, damage, or theft of any personal property left inside the vehicle before, during, or after the Service.

This includes, but is not limited to:

  • cash or valuables

  • electronic devices

  • tools or equipment

  • personal documents

  • aftermarket accessories or loose items within the vehicle

Clients are encouraged to remove any valuable or sensitive items from the vehicle before the Technician arrives.

Technician Safety & Work Environment

EZ Car Clinic and its Technicians reserve the right to decline, postpone, or discontinue Services if the work environment is determined to be unsafe, hazardous, or otherwise unsuitable for performing automotive repairs.

Examples of unsafe conditions may include, but are not limited to:

  • unstable or unsafe vehicle positioning

  • insufficient workspace or lighting

  • unsafe weather conditions

  • interference from other persons or animals

  • hazardous environmental conditions

  • aggressive or inappropriate behavior directed toward the Technician

Clients are responsible for ensuring that the service location provides a reasonably safe environment for the Technician to perform the requested Service.

EZ Car Clinic shall not be responsible for delays, incomplete services, or additional costs resulting from unsafe working conditions or interference at the service location.

In addition, Technicians may refuse to perform Services that could reasonably result in damage to the vehicle, personal injury, or unsafe repair conditions.

 
Vehicle Condition & Roadworthiness Disclaimer

EZ Car Clinic performs the specific Services requested and approved by the Client. Vehicles may contain multiple mechanical, electrical, or structural issues, some of which may not be apparent during initial inspection or diagnostics.

Completion of a particular Service does not guarantee that the vehicle is fully repaired, safe to operate, or free from other mechanical issues, unless such conditions were specifically inspected and addressed as part of the approved Service.

Clients acknowledge that:

  • Additional problems may exist that are unrelated to the Service performed

  • The vehicle may require additional repairs or maintenance to operate safely and reliably

  • EZ Car Clinic may recommend additional repairs or maintenance; however, the Client retains the right to approve or decline such recommendations

If a Client declines recommended repairs or chooses to operate the vehicle with known mechanical issues, the Client assumes all responsibility for continued operation of the vehicle.

EZ Car Clinic shall not be responsible for vehicle breakdowns, failures, or safety issues resulting from conditions unrelated to the specific Service performed or from recommended repairs that were declined by the Client.

 
Declined Repair & Continued Vehicle Operation

If EZ Car Clinic identifies a condition that may affect the safe or reliable operation of the vehicle, the Client will be informed and may be provided with repair recommendations.

If the Client declines recommended repairs or chooses to operate the vehicle with known mechanical issues, the Client assumes all responsibility for continued operation of the vehicle, including any resulting mechanical failure, safety risk, vehicle breakdown, or additional damage.

EZ Car Clinic shall not be responsible for damages, losses, or incidents resulting from the Client’s decision to decline recommended repairs or operate the vehicle in a known defective condition.

Mobile Service Location

EZ Car Clinic provides mobile automotive services at locations requested by the Client. The Client is responsible for ensuring that the selected service location is safe, accessible, and legally permitted for vehicle service.

The Client must:

  • Provide a safe and reasonably level work location

  • Ensure the Technician has clear and unobstructed access to the vehicle

  • Maintain at least two (2) feet of clearance around the vehicle for safe operation

  • Obtain any required permission to perform vehicle service at the selected location (for example: HOA permission, parking permits, or property management authorization)

If the Technician determines that the vehicle cannot be safely serviced at the selected location, EZ Car Clinic may reschedule, relocate, or cancel the appointment. Applicable service or cancellation fees may apply.

EZ Car Clinic is not responsible for property-related issues arising from mobile service, including but not limited to:

  • Oil or fluid residue

  • Stains or marks on pavement

  • HOA or property management complaints

  • Parking restrictions or citations

The Client agrees to hold harmless and indemnify EZ Car Clinic from claims, damages, or liabilities arising from the service location selected by the Client.

Diagnostic Services

Diagnostic services are billed hourly with a one-hour minimum. Client approval is required if additional diagnostic time, testing, or initial part replacement is necessary to complete the diagnostic process.

Diagnostic appointments include testing and troubleshooting intended to identify the likely cause of a reported vehicle issue. Diagnostic appointments do not include repairs.

Repairs identified during the diagnostic process may require replacement parts and may require a separate repair appointment. Diagnostic fees are separate and are not applied toward repair costs, unless otherwise stated.

Vehicles may have multiple underlying issues, and diagnostic procedures are intended to identify the most likely cause of the reported concern based on the testing performed during the appointment. Additional issues may be discovered after repairs are performed or if further testing becomes necessary.

Diagnostic findings represent a professional assessment based on the information available and the tests performed during the appointment. Because vehicle systems can be complex and multiple conditions may exist, diagnostic results do not guarantee that a specific repair will resolve all symptoms or underlying issues.

Some diagnostic procedures may require additional testing time depending on the vehicle condition, system complexity, or accessibility of components. Additional diagnostic time or testing may require Client approval.

In some cases, a reported issue may be intermittent or may not occur during testing. A minimum non-refundable diagnostic fee applies regardless of whether the condition can be duplicated during the appointment.

Diagnostic services apply only to the testing performed during the scheduled appointment. Additional visits, follow-up diagnostics, or testing performed after repairs, delays, or changes in vehicle condition may require a separate diagnostic appointment and additional diagnostic fees.

Fragile or Aged Components

Certain vehicle components may become fragile or deteriorate over time due to age, heat, vibration, corrosion, or normal wear. Examples may include plastic covers, rubber components, cooling hoses, clips, fasteners, or similar parts that can become brittle or weakened over time.

During normal service procedures, such components may crack, break, or fail when removed, loosened, or disturbed. EZ Car Clinic shall not be responsible for the failure of these components when the failure results from pre-existing deterioration, wear, corrosion, or age-related conditions.

If such components fail during the course of performing the approved Service, replacement of the affected component may be necessary and may result in additional parts and labor charges, subject to Client approval where reasonably possible.

Parts Availability & Supply Delays

EZ Car Clinic makes reasonable efforts to obtain the parts and materials required to perform the requested Services. However, the availability, delivery time, and condition of parts are dependent on third-party suppliers and manufacturers.

EZ Car Clinic shall not be responsible for delays, rescheduling, or cancellation of Services resulting from:

  • supplier backorders

  • incorrect parts supplied by vendors

  • defective or damaged parts received from suppliers

  • shipping or delivery delays

  • manufacturer discontinuation of parts

If required parts are unavailable or unsuitable for installation, EZ Car Clinic may reschedule the appointment or recommend alternative parts when appropriate. Any substitute parts will require Client approval before installation.

In the event that a scheduled Service cannot be completed due to parts availability or supplier-related issues, EZ Car Clinic will make reasonable efforts to notify the Client and reschedule the Service at the earliest practical time.​

 
Chargebacks & Payment Disputes

Clients agree to contact EZ Car Clinic first regarding billing concerns before initiating a chargeback.

EZ Car Clinic may provide documentation including estimates, invoices, communications, and service records to dispute any chargeback.

Clients remain responsible for valid charges for services performed.

Initiating a chargeback for a valid and authorized transaction may constitute a breach of these Terms of Use & Policies.

 
Non-Payment & Service Refusal

Payment for services performed is due immediately upon completion of the Service, unless otherwise agreed in writing.

If a Client refuses or fails to make payment, EZ Car Clinic reserves the right to pursue remedies permitted by law, including collection of unpaid balances and recovery of administrative or collection costs where permitted.

EZ Car Clinic may decline or discontinue Services if a Client:

  • refuses to approve required work

  • refuses payment

  • creates an unsafe or hostile work environment for the Technician

 
Limitation of Liability

To the maximum extent permitted by applicable law, EZ Car Clinic’s total liability arising out of or relating to any Service performed, estimate provided, or appointment scheduled shall be limited to the amount actually paid by the Client for the specific Service giving rise to the claim.

EZ Car Clinic shall not be liable for any indirect, incidental, consequential, special, or punitive damages, including but not limited to:

  • loss of vehicle use

  • loss of income or wages

  • towing costs

  • rental vehicle expenses

  • transportation costs

  • inconvenience or loss of time

  • damage resulting from vehicle breakdown or failure unrelated to the Service performed

EZ Car Clinic shall also not be responsible for damages or losses resulting from:

  • pre-existing vehicle conditions

  • normal vehicle wear and tear

  • failure of unrelated components or systems

  • customer-supplied parts

  • improper maintenance of the vehicle

  • misuse, abuse, or modification of the vehicle

  • external factors beyond the control of EZ Car Clinic

Some jurisdictions may not allow the exclusion or limitation of certain damages. In such cases, EZ Car Clinic’s liability shall be limited to the maximum extent permitted by law.

 
Limited Service Warranty (EZCC Service Warranty)

EZ Car Clinic provides a Limited Service Warranty, referred to as the EZCC Service Warranty, covering defects in parts supplied by EZ Car Clinic and workmanship performed during the Service.

The EZCC Service Warranty applies only to the specific Service and parts supplied by EZ Car Clinic and does not extend to other vehicle components unless explicitly stated.

 
Warranty Coverage Periods

Standard Services: 12 months or 12,000 miles

Engine Oil Change: 90 days or 3,000 miles

Battery Replacement Warranty:

Batteries installed before Sept 15 2024: 12 months or 12,000 miles

Batteries installed Sept 15 2024 – Jan 9 2025: 24 months or 24,000 miles

Standard Battery (after Jan 10 2025): 12 months or 12,000 miles

Gold Battery (after Jan 10 2025): 18 months or 18,000 miles

AGM / EFB Batteries (after Jan 10 2025): 24 months or 24,000 miles

Warranty begins on the date and mileage recorded at the completion of service.

 
Warranty Conditions

The EZCC Service Warranty:

  • applies only to the original Client

  • is not transferable

  • requires EZ Car Clinic to be given the first opportunity to inspect and repair

Warranty coverage cannot exceed the original amount paid for the Service.

EZ Car Clinic is not responsible for incidental or consequential damages, including but not limited to towing costs, rental vehicles, transportation expenses, travel costs, diagnostic charges from other repair facilities, loss of vehicle use, or lost wages.

Warranty coverage applies only to the repair or replacement of the defective part or workmanship originally provided by EZ Car Clinic.

 
Warranty Claims

Clients must contact EZ Car Clinic before allowing another repair facility to inspect or repair the vehicle. 

Failure to notify EZ Car Clinic may void the warranty claim.

If a claim is submitted:

  1. EZ Car Clinic will schedule a Warranty Claim Assessment

  2. The vehicle must be located within EZ Car Clinic’s service area or at the original service location where the Service was performed. A map of our current service area is available on our website.

  3. If approved, Warranty Service will be scheduled

 
Warranty Claim Documentation

EZ Car Clinic may request reasonable documentation when evaluating a warranty claim, including:

  • vehicle mileage at time of claim

  • photos or videos of the issue

  • diagnostic codes if available

  • related service records

Failure to provide requested documentation may result in denial of the warranty claim.

 
Vehicle Maintenance Requirement

Vehicles must be properly maintained according to manufacturer recommendations.

Warranty coverage may be denied for failures resulting from:

  • lack of maintenance

  • continued operation after a known issue

  • installation of incompatible aftermarket parts

  • vehicle modifications affecting the repaired system

 
High-Mileage & Pre-Existing Condition Limitation

Vehicles with high mileage, severe wear, or significant pre-existing damage may contain components nearing the end of their service life.

EZ Car Clinic is not responsible for failures of adjacent or related components that occur due to age, wear, corrosion, or previously existing mechanical conditions.

 
Reasonable Opportunity to Repair

EZ Car Clinic must be given a reasonable opportunity to inspect and repair any verified warranty issue.

Warranty claims may be denied if the Client:

  • refuses inspection

  • prevents diagnosis

  • allows another repair facility to perform repairs before EZ Car Clinic evaluates the issue

 
Unrelated System Failures

EZ Car Clinic is not responsible for failures of vehicle systems unrelated to the Service performed.

Vehicles contain complex systems, and unrelated failures may occur due to normal wear, age, or manufacturer defects.

EZ Car Clinic’s responsibility is limited to the specific Service performed and parts supplied by EZ Car Clinic.

Diagnostic Codes & Warning Indicators

Modern vehicles contain numerous electronic control systems that continuously monitor vehicle operation. During or after service, diagnostic trouble codes, warning lights, or system alerts may appear that are unrelated to the Service performed.

The appearance of new diagnostic codes or warning indicators does not necessarily indicate that the Service performed by EZ Car Clinic caused the condition. Additional diagnostic testing may be required to determine the source of such alerts.

EZ Car Clinic shall not be responsible for diagnostic codes, warning lights, or system alerts that are unrelated to the specific Service performed.

 
Dispute Resolution & Arbitration

EZ Car Clinic is committed to resolving customer concerns in a fair and timely manner. Clients are encouraged to contact EZ Car Clinic directly to address any service-related concerns before pursuing formal dispute procedures.

Informal Resolution

Before initiating arbitration or legal action, both parties agree to attempt to resolve the dispute through good-faith discussions. Clients should first contact EZ Car Clinic using the contact information provided in these Terms.

Binding Arbitration

If a dispute cannot be resolved informally, any dispute, claim, or controversy arising out of or relating to the Services provided by EZ Car Clinic or these Terms of Use & Policies shall be resolved through binding arbitration, rather than through litigation in court.

Arbitration shall be conducted in accordance with the rules of a mutually agreed arbitration provider. If the parties cannot agree on an arbitration provider, arbitration shall be conducted in accordance with the rules of the American Arbitration Association (AAA) or a similar arbitration organization.

The arbitration shall take place in the Commonwealth of Virginia, unless both parties agree otherwise.

The arbitrator’s decision shall be final and binding, and judgment upon the arbitration award may be entered in any court having jurisdiction.

Each party shall be responsible for its own legal fees and arbitration costs, unless otherwise determined by the arbitrator.

Exceptions

Nothing in this section prevents EZ Car Clinic from pursuing:

  • unpaid balances

  • collection actions

  • claims for damages

in small claims court or other courts of competent jurisdiction, where permitted by law.

 
Force Majeure

EZ Car Clinic shall not be liable for delays or inability to perform Services due to events beyond its reasonable control, including severe weather, natural disasters, traffic incidents, supply shortages, equipment failures, government actions, or emergencies affecting personnel.

 
Governing Law

These Terms of Use & Policies, as well as any Services performed by EZ Car Clinic, shall be governed by and interpreted in accordance with the laws of the Commonwealth of Virginia, without regard to conflict-of-law principles.

Any legal action, proceeding, or arbitration arising out of or relating to these Terms or the Services provided shall be conducted within the Commonwealth of Virginia, unless otherwise agreed by the parties.

By agreeing to these Terms, the Client consents to the jurisdiction and venue of courts located within the Commonwealth of Virginia, including courts located in or serving Fairfax County, Virginia, where EZ Car Clinic LLC is registered.

If any provision of these Terms is determined to be invalid, unlawful, or unenforceable by a court or arbitrator of competent jurisdiction, the remaining provisions shall remain fully valid and enforceable to the fullest extent permitted by law.
